At MayerPix Photography, we respect your privacy and are committed to protecting your personal data. This Privacy Policy explains how we collect, use, and protect your information when you use our website and services.

1. What Data We Collect
We may collect the following information:
– Full name
– Email address
– Phone number
– Caller ID information (when you call us)
– Audio recordings and/or transcripts of calls (see “Call Recording & Transcription”)
– Geolocation data
– Payment information (once online payments are available)
– Cookies and analytics data (e.g., Google Analytics, Facebook Pixel)

2. How We Use Your Data
We use your data to:
– Contact you to organize photoshoots (by phone, email, and SMS)
– Send contracts, download links for photos, and preparation recommendations
– Send SMS reminders before the photoshoot
– Contact you directly by phone to discuss details
– Analyze website usage and improve our services
– Create folders and provide download links for photos via Google Drive
– Public download link availability: links sent by email after editing are valid for 14 days from the time the delivery email is sent; after 14 days, public access is disabled
– Sync with Google Calendar for managing bookings
– Store and manage information in the HoneyBook CRM
– Use Zapier to automate tasks (e.g., project creation, emails, calendar sync)
– Send emails via Gmail (Google Mail)
– Send SMS messages via Twilio (e.g., confirmations, reminders)
– SMS & phone communications: We may contact you by SMS and phone regarding inquiries, bookings, reminders, and service updates. Message frequency varies. Msg & data rates may apply. You can opt out at any time by replying STOP; reply HELP for help.
– Caller ID and consent: If you call us, we may use your Caller ID to contact you back and—with your verbal consent—send a one-time SMS (e.g., a booking link) to the number you used to call.
– AI assistant & automation: We use an AI phone assistant powered by OpenAI (speech recognition/understanding) and ElevenLabs (text-to-speech). Audio snippets and transcripts may be processed by those providers solely to handle your inquiry (see “AI & Voice Processing”).

3. Data Sharing with Third Parties
We may share your data with:
– Payment systems for processing payments
– Hosting and cloud services (e.g., Google Drive, Google Calendar, Gmail)
– CRM systems (e.g., HoneyBook)
– Automation platforms (e.g., Zapier)
– SMS service providers (e.g., Twilio)
– Analytics services (e.g., Google Analytics, Facebook Pixel)
We do not share your data for marketing purposes without your explicit consent.

4. How We Protect Your Data
We take reasonable and appropriate measures to protect your data. Access is restricted and secured (e.g., hosting with Kinsta and SSL encryption).

6. SMS Terms & Opt-In
– Program description. Conversational texts related to your inquiry and bookings (links to book, confirmations, reminders, service updates). No promotional marketing without separate consent.
– Opt-in methods.
(a) Website form: you enter your phone and check a consent box next to the submit button;
(b) Phone calls: during inbound calls we may ask for verbal consent to send a one-time SMS (e.g., a booking link) to the number you used to call.
– Message frequency. Varies.
– Fees. Msg & data rates may apply.
– Opt-out. Reply STOP to any message to stop. You may also use STOP ALL, END, QUIT, or UNSUBSCRIBE.
– Help. Reply HELP for help or email contact@mayerpix.com.
– Carriers. Wireless carriers are not liable for delayed or undelivered messages.
– Eligibility. U.S. users 18+.
– Data & privacy. SMS is delivered via Twilio and handled per this Privacy Policy.

7. AI & Voice Processing
We use an AI phone assistant to answer calls and help with booking information. When you interact by phone, audio and/or transcripts may be processed by:
– OpenAI (speech recognition, natural language understanding, call logic), and
– ElevenLabs (text-to-speech voice output).
Calls and SMS routing are powered by Twilio. We share only the data necessary to operate the assistant (e.g., audio snippets, transcripts, message content). We do not use call audio or transcripts to train public models. Processing is limited to providing the service to you.

8. Call Recording & Transcription
We may record calls and create transcripts to: (i) respond to your inquiry, (ii) improve quality, and (iii) document bookings. If you prefer not to be recorded, please tell us during the call or email contact@mayerpix.com. Recordings and transcripts are retained only as long as needed (see “Data Retention & Deletion”) and are not shared for marketing.

9. Data Retention & Deletion
We use maximum (“up to”) retention periods and may delete earlier at our discretion. Unless a longer period is required for legal reasons or to resolve disputes, we follow these limits:
– Public download links to photos: valid for 14 days from the time the delivery email is sent; after expiry, public access is disabled.
– Studio archive (non-public working copies: RAW/JPEG/PSD): retained up to 24 months to support redelivery and re-edits; you may request earlier deletion.
– Portfolio use (with signed model release): selected images may be kept until consent is withdrawn; upon withdrawal we remove them from public use within up to 30 days (cached/archived copies outside our control may persist longer).
– Call recordings: retained up to 90 days.
– Transcripts: retained up to 12 months.
– SMS & call metadata (Twilio): retained up to 24 months.
– Booking & project metadata (calendar/CRM): retained up to 24 months after job completion.
– Email correspondence (operational): retained up to 24 months.
– Backups: deleted data may persist in system backups for ~30–90 days before cycling out.
– Legal holds: we may retain specific records longer if reasonably necessary to comply with law, resolve disputes, or enforce agreements.
– Your deletion requests: email contact@mayerpix.com to request deletion. We will delete non-required data within up to 30 days, subject to legal holds and any signed portfolio permissions.
